Chariot Transport Solutions Supplier Terms & Conditions (T&Cs)
1.Scope of Work
1.1. Suppliers agree to provide taxi and coach services in compliance with the agreed specifications, schedules, and safety standards.
1.2. Services provided must meet the requirements of Chariot Transport Solutions, its clients, and partners.
1.3. Any deviations from the agreed services must be communicated and approved in writing prior to implementation.
2.Pricing and Payments
2.1. All prices for services will be as agreed in the supplier contract.
2.2. Payment terms are agreed with the supplier / partner from the receipt of a valid invoice unless otherwise agreed in writing.
2.3. Invoices must detail the services provided, date(s) of service, and client served, and must include any required supporting documents.
2.4. Suppliers are responsible for ensuring their invoices are accurate and submitted on time.
3.Compliance with Laws and Regulations
3.1. Suppliers must comply with all applicable local, national, and international laws, regulations, and industry standards.
3.2. Suppliers must ensure that all drivers hold valid licenses, and vehicles must have up-to-date insurance, inspections, and permits.
3.3. Any breach of local or national regulations must be reported immediately to Chariot Transport Solutions.
4.Service Standards
4.1. Suppliers must ensure that all vehicles are clean, safe, and in good working order.
4.2. Drivers must be punctual, professional, and knowledgeable of routes and customer requirements.
4.3. Any incidents, delays, or service interruptions must be reported to Chariot Transport Solutions as soon as possible.
5.Confidentiality and Data Protection
5.1. Suppliers agree to maintain the confidentiality of all information related to Chariot Transport Solutions, its clients, partners or passengers.
5.2. Personal data must be handled in compliance with relevant data protection laws, including GDPR, where applicable.
6.Insurance and Liability
6.1. Suppliers must maintain adequate insurance to cover public liability, employer's liability, and vehicle insurance.
6.2. Chariot Transport Solutions is not liable for any damages or losses incurred by suppliers unless caused by the company's negligence.
7.Termination
7.1. Chariot Transport Solutions reserves the right to terminate the supplier relationship at any time for breach of these T&Cs or failure to meet service standards.
7.2. Upon termination, all outstanding payments will be settled within 30 days, provided that all contractual obligations have been met.
8.Dispute Resolution
8.1. Any disputes arising from the supply of services will be settled through negotiation between the parties.
8.2. If an agreement cannot be reached, disputes may be escalated to mediation or arbitration as a final step.
Supplier Code of Conduct for Chariot Transport Solutions
1.Professional Conduct
1.1. Suppliers and their employees must conduct themselves in a professional, courteous, and respectful manner at all times.
1.2. Drivers must wear appropriate attire that reflects the professionalism of the service.
2.Safety Standards
2.1. Suppliers are responsible for ensuring the safety of all passengers during the provision of services.
2.2. Drivers must follow all traffic laws and regulations, including speed limits and rest breaks.
2.3. Any incidents or accidents must be reported immediately to Chariot Transport Solutions, along with a detailed incident report.
3.Client Interaction
3.1. Drivers must treat all clients and passengers with respect, patience, and professionalism.
3.2. Suppliers must ensure that drivers are familiar with the requirements and preferences of Chariot Transport Solutions' clients.
3.3. No unauthorised personnel should enter vehicles during service for clients.
4.Environmental Responsibility
4.1. Suppliers should take steps to minimise their environmental impact, such as reducing idling time and maintaining fuel-efficient practices.
4.2. Whenever possible, suppliers are encouraged to use eco-friendly vehicles or options with lower emissions.
5.Ethical Behavior
5.1. Suppliers must uphold ethical business practices, including transparency in pricing and adherence to agreed-upon services.
5.2. Any conflicts of interest must be disclosed to Chariot Transport Solutions immediately.
6.Zero Tolerance Policies
6.1. Chariot Transport Solutions enforces a zero-tolerance policy on the use of drugs, alcohol, or inappropriate behavior by drivers.
6.2. Harassment, discrimination, or any form of misconduct towards passengers or staff is strictly prohibited.
7.Compliance with Service Requirements
7.1. Suppliers must ensure all vehicles meet the requirements set by Chariot Transport Solutions and relevant authorities.
7.2. Drivers should be trained to handle unexpected situations, such as road closures or emergencies, and communicate effectively with Chariot Transport Solutions or passengers if needed.
